Outfitting a 40-Seat Co-Working Space in HSR Layout: Bulk Ergonomic Setup

Project Overview

FlexBase is a boutique co-working operator with two existing locations in BTM Layout and Jayanagar. For their third Bangalore location in HSR Layout Sector 7, they needed a complete furniture solution for 40 dedicated workstations, a 10-person boardroom, a compact reception area, and a casual lounge corner - all within a strict handover window of two consecutive weekends to avoid disrupting their launch date.

The Brief

The FlexBase team had specific standards shaped by feedback from their existing two locations:

Ergonomic adjustability is non-negotiable. Members pay a premium and expect chairs with lumbar adjustment, armrest height control, and breathable mesh backs - not just foam-padded task chairs.
Standing desk integration. At least 30% of workstations needed to be electric height-adjustable standing desks, as FlexBase markets itself as a health-forward workspace.
Acoustic zoning. The open floor needed a mix of collaborative bench setups and isolated single-desk pods to cater to both team bookings and solo professionals.
Consistent visual language. Every piece had to align with their existing brand palette: charcoal grey, white, and warm oak wood accents.

The Solution

Open Work Floor: Modular Bench System

We designed a modular 6-desk linear bench system for the collaborative zone, fabricated in white powder-coated steel frames with 25mm thick solid oak desktop surfaces. Six units were deployed, creating 36 open desks in total. Each bench module was built to be independently mobile (caster-equipped) so the operator can reconfigure the floor for events without dismantling fixed furniture.

12 of the 36 desks were specified as electric height-adjustable (72-120cm range), with dual memory presets and a brushless dual-motor for silent operation in a co-working context.

Isolated Work Pods: 4 Single Stations

Four acoustic work pods were placed along the window wall - each a 120x70cm solid oak fixed desk with a 165cm tall fabric-wrapped side panel providing visual separation without full enclosure. These are premium single-seat bookings at FlexBase and are consistently the highest-utilised spots in their existing locations.

Seating: 40 Ergonomic Task Chairs

All 40 workstation chairs are the same model for visual cohesion: a breathable mesh-back task chair with:

4D armrests (height, depth, angle, width adjustable)
Adjustable lumbar curve support (not just a fixed pad)
Seat depth slider for users with different leg lengths
135-degree recline with tension control

All chairs are charcoal grey mesh with a black base - consistent with the FlexBase brand palette.

Boardroom: 10-Seat Executive Setup

A 280x110cm solid oak conference table as the centrepiece, finished in a medium-dark stain. Ten high-back executive chairs in a dark slate fabric with polished aluminium bases line the table. Cable management channels are routed through the table top, with two power modules (2 sockets + 2 USB-C ports each) recessed flush into the surface.

Reception and Lounge

A custom solid oak reception counter (200x90cm) with a white laminate work surface on the staff side and a book-matched oak panel on the client-facing side. In the lounge corner, two 2-seater mid-century style sofas in warm terracotta bouclé fabric with solid walnut legs, centred around a 90cm round teak coffee table.

Phased Delivery: Zero Weekday Disruption

Weekend 1 (Saturday-Sunday):

All bench desks, standing desks, and task chairs for the open floor
Acoustic work pod desks and side panels
Boardroom table and chairs

Weekend 2 (Saturday-Sunday):

Reception counter (required on-site finishing work - hand-waxed oak panel)
Lounge sofas and coffee table
Final cable management installation and quality check walkthrough

Both weekends ran from 7am to 7pm. The FlexBase team arrived Monday morning to a fully operational space.

Outcome

Operational Date: FlexBase HSR Layout opened on schedule, one day after Weekend 2.
Budget Performance: Final invoice was Rs. 6.87 lakh for the full project with GST at 18%.
Utilisation Since Launch: Within 3 weeks of opening, 34 of 40 desks were sold as monthly memberships. FlexBase attributed the speed of uptake partly to the visual quality of the space.
Zero Punch List: No recalls, replacements, or dimension corrections required.
